Cancellation & Refund Policy

At OTA Tours, we understand that plans can change. Our cancellation and refund policy is designed to be fair and transparent. By completing a booking, you agree to the terms outlined below.

1. Cancellations Made by the Guest

The following refund schedule applies to all guest-initiated cancellations:

24+ hours before departure: Full refund issued.
Less than 24 hours before departure: Refund issued minus a $50 cancellation fee.
No-show or same-day cancellation: No refund issued.

The $50 cancellation fee applies to all cancellations made less than 24 hours before the scheduled departure time. This fee covers administrative costs and compensates for the lost booking slot. All cancellation requests must be submitted via the Cancel Trip link provided in your booking confirmation email. This is the only accepted method of cancellation. Cancellations requested by phone, text, or email cannot be guaranteed to be received or processed in time and will not be honored.

2. Refund Processing

Approved refunds will be returned to the original form of payment used at the time of booking.

  • Please allow 5–7 business days for the refund to appear in your account.
  • Processing times may vary depending on your bank or card issuer.
  • OTA Tours is not responsible for delays caused by third-party payment processors.

3. Cancellations Made by OTA Tours

OTA Tours reserves the right to cancel any tour due to unsafe weather conditions, insufficient bookings, road closures, or other circumstances beyond our control. In such cases:

  • Guests will be notified as soon as possible via the contact information provided at booking.
  • A full refund will be issued, or guests may choose to reschedule at no additional charge.

4. How to Cancel Your Booking

To cancel your booking, you must use the Cancel Trip link included in your booking confirmation email, or visit the cancellation page directly at otatours.vegas/cancellation. This is the only accepted method of cancellation. Cancellations requested by phone, text, or email will not be accepted, as OTA Tours cannot guarantee timely receipt of messages while tours are in operation. Using the cancellation page ensures your request is recorded instantly — no confirmation from us is required.

5. Non-Refundable Situations

Refunds will not be issued in the following circumstances:

  • Guest arrives late and misses the tour departure.
  • Guest is denied participation due to intoxication or unsafe behavior.
  • Guest fails to meet any stated requirements for the tour.
  • Same-day cancellations or no-shows at the time of departure.

A $50 cancellation fee will be retained for all cancellations made less than 24 hours before the scheduled departure. The remaining balance will be refunded to the original payment method within 5–7 business days.

Rules & Regulations

OTA Tours is committed to providing a safe, comfortable, and enjoyable experience for all guests. By booking a tour, you agree to abide by the following rules and regulations. Violations of any of these policies may result in the immediate cancellation of your trip without a refund, regardless of the point at which the violation occurs.

1. Guest Conduct & Behavior

OTA Tours maintains a zero-tolerance policy for disrespectful or disruptive behavior. The following will result in immediate cancellation of the trip with no refund:

  • Extremely aggressive, rude, or threatening behavior toward the tour guide or any other guests will not be tolerated under any circumstances. The trip will be cancelled immediately, regardless of location or point in the tour.
  • Belligerent conduct or visible intoxication that affects a guest's ability to behave responsibly will result in refusal of service. This applies both prior to departure and during the trip.
  • Any violent threats, intimidating language, or physical aggression toward any person will result in immediate cancellation of the tour. Authorities may be contacted at the discretion of the tour guide.

2. No Smoking or Vaping

OTA Tours operates a strictly smoke-free and vape-free environment inside all tour vehicles and at all tour locations.

  • The use of cigarettes, cigars, vapes, e-cigarettes, or any other smoking or vapor-producing devices is strictly prohibited at any point during the trip.
  • Any guest found using a smoking or vaping device will have their trip cancelled immediately, regardless of where the tour is at that time. No refund will be issued.

3. Departure & Return Punctuality

OTA Tours operates on a scheduled timeline out of respect for all guests and destinations.

  • All guests are expected to be ready and present at the designated departure point at the scheduled departure time.
  • At each destination, guests will be given a clearly communicated return time. Failure to return to the vehicle at the scheduled time will result in cancellation of the remainder of the trip.
  • Any guest who is not prepared to leave at the scheduled time may be left behind. OTA Tours will not delay the schedule for any individual guest.
  • No refund will be issued for trips cancelled or cut short due to a guest's failure to comply with scheduled departure or return times.

4. Pet Policy

OTA Tours welcomes small, well-behaved dogs on tour. To ensure the comfort and safety of all guests, the following rules apply:

  • Only small dogs are permitted. Accepted breeds and sizes are comparable to a Pomeranian, Chihuahua, or Jack Russell Terrier. Any dog exceeding this size or weight range will not be permitted on the tour.
  • Your pet must remain in your lap or under your control for the duration of the trip. Pets may not roam freely in the vehicle.
  • Service animals are subject to the same size restrictions.
  • A pet fee of $15.00 per pet is required at the time of booking. Maximum 2 pets per booking.
  • The $15.00 pet fee is refundable only if the trip is cancelled 24 hours or more before the scheduled departure. Pet fees are non-refundable for cancellations made less than 24 hours before departure.
  • The guest is fully responsible for their pet's behavior throughout the trip. Any damage caused by a pet to the vehicle or to other guests' belongings is the sole financial responsibility of the pet owner.

5. General Acknowledgment

By completing your booking with OTA Tours, you confirm that you have read, understood, and agreed to all rules and regulations outlined in this document. OTA Tours reserves the right to refuse service or cancel any trip at its sole discretion if these rules are not followed. The safety and comfort of all guests and staff is our top priority.

Liability Waiver & Assumption of Risk

By booking and participating in any OTA Tours experience, you acknowledge and agree to the following Liability Waiver and Assumption of Risk. Please read this section carefully, as it affects your legal rights. Your booking and your agreement to these terms at checkout confirm your acceptance of this waiver.

1. Assumption of Risk

You understand that OTA Tours provides transportation and self-guided visual experiences to outdoor destinations including Hoover Dam, Red Rock Canyon, and Seven Magic Mountains. You acknowledge that these destinations involve inherent risks that are beyond the control of OTA Tours, including but not limited to: uneven terrain, natural rock formations, elevated walkways, weather conditions, wildlife, slips, trips, falls, and the general risks associated with outdoor desert environments.

You voluntarily assume all risks associated with participation, whether or not specifically described above, and accept full personal responsibility for your own safety and conduct throughout the experience.

2. Release of Liability

To the fullest extent permitted by law, you release, waive, and discharge OTA Tours, its owner, operators, employees, and agents from any and all liability, claims, demands, or causes of action arising from personal injury, bodily harm, illness, property damage, or loss sustained during or in connection with your participation, except where such injury or loss results directly from the gross negligence or willful misconduct of OTA Tours.

3. Personal Conduct & Safety

You agree to follow all posted rules, signage, and reasonable safety instructions at each destination. You understand that you participate in all walking, climbing, photography, and exploration at your own discretion and risk. OTA Tours is not responsible for injuries resulting from a guest's failure to exercise reasonable caution or to follow posted guidelines at any location.

4. Vehicle Transportation

OTA Tours maintains commercial vehicle insurance covering transportation to and from destinations. This Liability Waiver applies to the activities, experiences, and time spent at destinations and on foot, which are separate from vehicle transportation coverage.

5. Medical Fitness

You confirm that you are physically able to participate in the experience you have booked and that you have disclosed any relevant medical conditions if assistance may be required. OTA Tours is not a medical provider and is not responsible for pre-existing conditions or medical emergencies arising from a guest's own health circumstances.

6. Agreement

By checking the agreement box during booking, you confirm that you have read, understood, and voluntarily agreed to this Liability Waiver and Assumption of Risk on behalf of yourself and any guests included in your booking. If you are booking for additional guests, you affirm that you have the authority to accept these terms on their behalf.
